Society Management

This function shall allow the committee to manage the master information of the society such as society details, wing details, flat and parking details. The feature allows the user to upload all the related documents with the specified limit. The user can download or share the necessary documents for all future references as and when needed.

Member Management

Module which maintains the master information related to the member of the society. It shall allow the user to capture all the necessary member information as per the statutory requirements. The member creation shall be accessible to the managing committee and the member can update all his/her related information online after the user login is created by the system.

Bye-Laws

The system shall provide the user with the applicable appendices and an integrated workflow required for completing the member request in accordance with the bye-law. The system provides predefined templates to generate the required bye-law appendices and the user shall print those with the pre-populated data and record it for all future references.

Request

This functional feature shall allow the members to raise a request with the committee and publish the request to the committee and/or members. The committee shall start a discussion forum with the respective member and the discussion forum shall have restrictive access as per the request visibility status. The request is managed under a fully functional workflow where the state transitions from ‘New’ request to ‘Closed’ request.

Amenities

The module shall allow the committee to configure the amenities like Carrom, Health Club, Gym, Swimming Pool, Table Tennis, Squash and Auditorium within the society. The members can login and book an amenity through the provided calendar. The system shall take care of the maximum bookings allowed for the society at a given time slot.

Meeting

The module allows the committee to schedule a meeting on the calendar to discuss the specific agenda and the members are notified of the agenda, date and timings. Upon conducting the meeting, the system shall allow the committee to document the minutes of meeting online or offline and take a concurrence from the members in accordance. The minutes of meetings shall be published to all the members of the society.

Accounts

A centralized source of financial transactions and statements for the committee to access the information as and when required. The module shall provide the following product features:

• Add-on account heads.
• User Configured bill heads.
• Configurable TDS and GST slab rates.
• User Configured bill Tariff Plan.
• Pre-configured bill workflow.
• Generation of monthly or quarterly bills.
• Bill Verification, corrections and approvals.
• Posting an Expense, Journal and Contra entry.
• Dynamic Ledger Creation.
• Ledger Postings to the respective account heads.
• Generation of financial statements as that of Trial Balance, Income & Expenditure and Balance Sheet.
• Manual Bank Reconciliation.
• Ledger Views and download in Excel and PDF.
• Manage your Assets and Investments.

Reports

User can view reports like Bill Register, Advance from Members, Dues from Members, Insurance Details, General Member Ledger and any other customized reports.

Vendor

This module shall allow the committee to add the empanelled vendors for the society and capture their KYV.

Grievance

A special request called as a ‘Grievance’ shall be generated by the member. This module shall help the user to raise a compliant as per the bye-law and track the complaint with the applicable authority.

Registers

All the statutory registers are auto generated and shall be printed on the required formats by the committee. The workflow based modules dynamically update the registers for the relevant information.

Notice

A complete workflow based notice management module shall allow the committee to create a notice, format it online and publish it for the secretary approval. The notice once approved can be sent to all the members or specific member(s). The members shall view the notice on successful login and can mark it as read on viewing the details.
